The short answer

Fireflies is the best conversation intelligence tool for teams that need deep CRM automation and cross-platform meeting coverage, but Fathom wins on simplicity and tl;dv wins on video coaching clips.

Every RevOps team I talk to is running some version of the same experiment: drop a notetaker bot into calls, hope it syncs to the CRM, and quietly abandon it three months later because the data is messy or nobody actually reads the summaries. Fireflies keeps coming up in those conversations, almost always inside a comparison post rather than getting a proper standalone review. That gap is worth closing. This review weighs Fireflies against Fathom, tl;dv, Laxis, and Otter.ai for discovery calls, customer success check-ins, and internal syncs. Here is how it stacks up.

What Fireflies actually does (and where it earns its keep)

Fireflies pitches itself as an AI meeting assistant. For RevOps, the more accurate framing is: a conversation data pipeline. The notetaker bot joins your calls across Zoom, Google Meet, Teams, and Webex, produces a transcript, generates an AI summary with action items, and then (on paid plans) pushes structured data into your CRM. That last part is where Fireflies separates from the noise.

The AI summary quality is genuinely good. Fireflies breaks summaries into sections like “Overview,” “Action Items,” “Questions Asked,” and “Topics,” which maps cleanly onto how a deal review or QBR actually works. I’ve seen other tools produce a wall of bullet points that no AE will ever read. Fireflies’ structured output gets opened.

Zoom, Meet, and Teams all supported natively, but the bot must be invited or auto-join configured correctly

The search functionality is legitimately underrated. Fireflies indexes every transcript your team generates and lets anyone query across all of them. Searching “pricing objection” and pulling every mention from the last 90 days of calls is the kind of capability that Gong charges enterprise money for. Fireflies does a version of it at a fraction of the price.

Where it falls short: the AI topic detection misfires on technical calls. A product demo that mentions the word “cost” in a feature description, for example, can end up with the walkthrough tagged as “pricing discussion.” That’s a noise problem in the topic tagging layer, not the transcript itself. It’s fixable with custom topic configuration, but you have to know to go looking for it.

The CRM sync to HubSpot and Salesforce works, but it requires intentional setup. Out of the box, Fireflies creates a note on the associated contact and logs the call. If you want it to update deal stages, populate custom properties, or trigger workflows, you’re writing your own automation on top, probably in Zapier or n8n. That’s not a knock. It’s just the honest expectation to set going in.

How Fireflies compares to Fathom, tl;dv, Laxis, and Otter

Conversation Intelligence Tools for Revenue Teams, 2026

Fireflies Top pick

Best CRM automation depth across the field

Free / Pro $10 / Business $19 / Enterprise custom

The strongest pick when RevOps owns the deployment and the goal is structured call data flowing into the CRM automatically. Team search, topic tracking, and multi-platform bot coverage are genuinely best-in-class at this price point. The gotcha is that real CRM value starts at Business tier, which is $19/seat/mo billed annually. At 10 seats that is $2,280 per year before you have touched a single workflow.

Highlights

  • Native sync to HubSpot and Salesforce on Business plan
  • Team-wide transcript search across all recorded calls
  • Custom topic trackers for objection and competitor mentions
  • Supports Zoom, Meet, Teams, Webex, and more

Fathom

Free, fast, zero config for individual AEs

Free / Premium $19/mo / Team $29/seat/mo

Fathom is the no-brainer for individual contributors or small teams where the RevOps team does not want to manage a deployment. The free tier is genuinely unlimited for Zoom calls. Summaries are fast and clean. What it does not have: team-wide search, cross-platform bot support beyond Zoom and Meet, or the CRM automation depth Fireflies offers. If your AEs self-select their own tools, Fathom wins by default.

Highlights

  • Free plan covers unlimited Zoom and Meet transcription
  • One of the fastest summary generation times in the category
  • Clean Slack and CRM note-drop integrations
  • No team admin overhead
Try Fathom →

tl;dv

Video clip coaching built for sales managers

Free / Pro $18/seat/mo / Business $59/seat/mo

tl;dv's core edge is timestamped video moments you can clip, share, and compile into coaching reels. If your sales manager runs weekly call review sessions, this is the tool. The AI summaries are good but not as structured as Fireflies. CRM integration exists but is thinner. Do not pick tl;dv as your primary RevOps data pipeline. As a coaching layer on top of a CRM-connected tool, though, it is excellent.

Highlights

  • Clip and share specific call moments with timestamps
  • Coaching playlists from multiple calls
  • GPT-powered Q and A over your call library
  • Free plan includes unlimited recordings

Laxis

Structured outbound call data for high-volume teams

Free / Premium $15.99/seat/mo / Enterprise custom

Laxis is the most underappreciated tool in this category. It is purpose-built for sales teams running high-volume outbound, with a CRM update flow that is faster to configure than Fireflies and a meeting assistant that works inside the browser without a bot join. The tradeoff is that team analytics and search are shallower than Fireflies. For an SDR team doing 40-plus calls per day and needing clean CRM records without manual logging, Laxis deserves a serious look.

Highlights

  • In-browser recording without a separate bot
  • Fast CRM field population after calls
  • Works well with Apollo and Pipedrive workflows
  • Lower per-seat cost than Fireflies Business
Try Laxis →

I’m intentionally leaving Otter.ai off the full breakdown. Otter is fine for internal meeting notes and works well for researchers or recruiters. For a revenue team that needs CRM automation, deal intelligence, or coaching workflows, it is not competitive with any of the four tools above. The Otter.ai use case and the Fireflies use case have diverged significantly over 2025 and into 2026. Don’t bother evaluating them side by side for GTM purposes.

How to choose

The real decision variable is not features. It’s who owns the deployment. If individual AEs choose and manage their own tool, Fathom wins every time because the zero-config free tier removes all friction. If RevOps is deploying this centrally and the goal is getting structured call data into the CRM without relying on rep discipline, Fireflies is the right call. The $19/seat Business tier is real money. It’s still cheaper than a half-time RevOps hire cleaning up missed call logs manually.

Teams running active sales coaching programs should layer tl;dv on top of whichever CRM-sync tool they deploy, rather than forcing one tool to do both jobs well. And if your team is doing high-volume outbound with Apollo or Pipedrive as the CRM, test Laxis before assuming Fireflies is the default. My read is that Laxis is the faster path to full CRM field coverage for a small SDR team.

The HubSpot automation reliability issue is worth flagging here too. Even with Fireflies syncing call data correctly, downstream HubSpot workflows can silently fail. Audit both ends of the pipe. According to HubSpot’s own workflow documentation, enrollment triggers based on call properties require specific property mappings that most teams never configure. That’s on you, not Fireflies.

The honest bottom line

Fireflies is not a set-it-and-forget-it tool. It rewards teams that invest 2 to 3 hours in configuration: setting up custom topic trackers, mapping CRM sync fields correctly, and building a lightweight review process around the data it produces. Teams that drop it in raw and hope for the best will get mediocre results and cancel. Teams that treat it as a data pipeline and build around it will see genuine ROI. At $19/seat/month for the Business tier, the math works for any team where a single saved deal covers the annual cost.

If you are evaluating Fireflies against the field right now, start with the free plan to validate transcription quality on your specific call types. Then run a 30-day Business trial with CRM sync turned on for one team. Measure field population accuracy and rep time saved on CRM updates before you commit to anything wider. According to G2 reviewer data, teams that go through a structured pilot see significantly higher long-term retention than those that do a broad rollout immediately.
