I’ve watched this exact sequence play out with three clients in the last six months. The frustrating part isn’t the decision to leave. It’s the two weeks of limbo where sequences are paused, DNS records are half-migrated, and someone watches reply rates fall off a cliff. This guide is a playbook for doing the switch cleanly, so you land in Instantly with your sending domains intact and your pipeline moving.
Before You Migrate: The Prep Checklist
Skipping this section is how teams lose two weeks of sending. Do this work before you cancel Saleshandy or touch a DNS record.
- Export all active contacts. Go to Saleshandy’s Prospects section, filter by campaign, and export each list as a CSV. Include custom field columns or you will rebuild that data from scratch.
- Document your sequences. There is no native export for sequence steps. Open each active sequence and copy the subject lines, body copy, wait days, and step counts into a Google Doc or Notion page. In your DNS host (Cloudflare, Route 53, Namecheap), add Instantly's DKIM TXT record alongside any existing Saleshandy record. Do not delete the Saleshandy record until you have confirmed Instantly's selector passes. Set DMARC to p=none with a reporting address during the transition so you can monitor for failures without blocking mail. Give DNS 24 to 48 hours to propagate before you test.
Navigate to each email account and turn on Warmup. Set daily warmup volume to 30 to 40 emails for the first week, then let Instantly's algorithm ramp from there. Even if a mailbox was fully warm on Saleshandy, the IP pool and sending infrastructure differ. Google and Microsoft score the sending source, not just the domain.
